FAQ
Simple answers for Section 8 operators
These answers mirror the branded HAPSecure FAQ sheet and explain what the app does for PHA notices, cure deadlines, proof, owner records, reports, and HAP payment tracking.
Bottom line
HAPSecure keeps your Section 8 paperwork from becoming a mess. It gives you one place to track the notice, unit, owner, deadline, proof, PHA submission, and HAP payment status.
Basics
What is HAPSecure?
HAPSecure is a simple operating file for Section 8 rental work. It helps you keep PHA notices, repair deadlines, proof photos, submission records, HAP payment notes, and unit files organized in one place.
It is built for landlords and property managers who do not want important Section 8 paperwork scattered across email, PDFs, texts, spreadsheets, and property-management notes.
Who is HAPSecure for?
HAPSecure is for sole landlords with one or a few voucher units, property managers handling many Section 8 units, companies managing properties for multiple owners or LLCs, and office staff who help manage HAP payments, inspections, notices, and proof.
Does HAPSecure replace AppFolio, Buildium, Yardi, Rent Manager, or my spreadsheet?
No. HAPSecure sits beside your existing property-management system and focuses on the Section 8-specific workflow: PHA notices, cure deadlines, failed inspection proof, HAP rent split context, submission records, and audit-ready unit files.
What problem does HAPSecure solve?
HAPSecure helps prevent common Section 8 paperwork failures: buried PHA notices, missed cure deadlines, repair photos not tied to the right unit, weak proof, missing submission records, HAP payment confusion, and lost owner context.
Property Managers
Can a property management company use one HAPSecure account for many owners?
Yes. HAPSecure has managed owner/client records. A property manager can run one company account, add each owner or LLC, and assign each unit to the correct owner of record.
Owner context appears on unit lists, reports, and audit surfaces so the management company does not lose track of who owns what.
Notices
What happens when I receive a PHA notice?
You upload the notice or send it through the inbound notice workflow. HAPSecure stores the original notice, extracts key details, lets a human review the result, tracks the deadline, captures repair proof, records what was sent back to the PHA, and keeps the timeline in the unit file.
Does AI make final decisions in HAPSecure?
No. AI helps read and summarize the notice, but a person reviews the original source document before anything is committed to the compliance ledger. The PHA notice remains the source of truth.
What is the review queue?
The review queue shows a draft extraction from a PHA notice next to the original document. You check the unit, deadline, severity, inspection date, and deficiency list. If it looks right, you commit it. If it is wrong or not useful, you reject it.
Deadlines
What is the cure deadline calendar?
The calendar shows open repair or cure deadlines across your units, with the soonest deadlines first. It helps answer: what do I need to fix first so my HAP does not get abated?
Proof
What is Field Proof?
Field Proof lets you capture repair evidence from a phone. After fixing an issue, you can take a photo, add a note, and save it to the correct unit file. HAPSecure records the capture time and, when the device allows it, GPS information.
What kind of proof does HAPSecure help me collect?
Proof may include repair photos, tested smoke alarm or CO alarm photos, GFCI outlet photos, receipts, repair notes, timestamped field evidence, and records of what was sent back to the PHA.
HAPSecure helps keep that proof tied to the unit and deadline it belongs to.
Files
What is the documents library?
The documents library stores PHA notices and related files in one place. Each document is stored with proof information, including a SHA-256 digest, so the file can be tied back to the record that was ingested.
What is the compliance ledger?
The compliance ledger is the timeline of important events for a unit. It can include notices, deadlines, proof, review actions, and related records. The ledger is tamper-evident, meaning it is designed to show if the recorded timeline has been changed.
Reports
What reports can I generate?
HAPSecure can generate unit-level reports and export materials such as PHA audit reports, court packet style evidence PDFs, unit compliance timelines, proof submission records, and revenue and reconciliation views.
These reports are meant to help with internal review, PHA follow-up, owner reporting, and dispute support.
Does HAPSecure send proof to the PHA for me?
HAPSecure helps you record proof submissions. Depending on the configured workflow, that can include portal, email, manual submission records, and certified-mail proof workflows. You should still follow your PHA's required submission instructions.
Does HAPSecure help with certified mail?
Yes, HAPSecure has a certified-mail add-on workflow where configured and enabled. It is used when you want a stronger record that something was sent. The certified-mail feature is provider-backed and gated by billing/provider readiness.
Money
What is HAP reconciliation?
HAP reconciliation helps you track expected vs received Housing Assistance Payments by unit and month. This helps catch missing HAP payments, short payments, overpayments, delayed PHA payments, and notes that explain a payment issue.
What is the split ledger?
The split ledger separates the PHA-paid HAP portion from the tenant-paid portion. This matters because total rent is not the same as HAP at risk. If a unit is abated, the PHA portion is usually the amount you are most worried about protecting.
Does HAPSecure help with rent reasonableness?
Yes. HAPSecure includes a rent reasonableness tool that compares a proposed rent against HUD FMR/SAFMR context and user-entered comparable rents. It helps you prepare documentation, but the PHA still makes the rent reasonableness decision.
Team
Can my team use HAPSecure together?
Yes. HAPSecure supports team members and roles. An owner or admin can invite teammates, change roles, and remove users. This is better than sharing one login.
Can HAPSecure remind people about deadlines?
Yes. HAPSecure has notification contacts and deadline notification settings. You can add people who should receive cure-deadline reminders and overdue alerts, and choose timing tiers such as 7 days, 72 hours, 24 hours, 6 hours, or overdue.
Security
Is HAPSecure secure?
HAPSecure includes account security features such as password management, optional two-factor authentication, organization-based access controls, and protected unit/document data. Users should still avoid sharing passwords and should use MFA for owner/admin accounts.
Is HAPSecure legal advice?
No. HAPSecure is workflow software, not legal advice. The PHA notice, HAP contract, PHA portal instructions, local rules, HUD guidance, and qualified legal counsel remain the source of truth.
Getting Started
What should I do first after signing up?
Start simple: add one voucher unit, add the owner or LLC if you manage it for someone else, enter the PHA name and HAP contract details if you have them, upload one PHA notice, review the extracted details, and use the deadline/proof tools to keep the unit file clean.
What is the easiest way to explain HAPSecure?
HAPSecure keeps your Section 8 paperwork from becoming a mess. It helps you know what notice came in, which unit it belongs to, who owns that unit, what deadline matters, what proof is needed, what was sent back to the PHA, and whether the HAP money arrived.
